Collection and use of the personal data of customers, suppliers and other contractors

We would like to inform you that we will collect and use the personal data you provide us with, as this is necessary to enter into and fulfil any contract with you. This applies to both (potential) customers and to parties from whom we purchase goods and/or services.

If you are a (potential) customer, we will use your data to enable us to send you a quotation, to determine what specifications or requirements a particular product or service should meet, to provide goods or services to you, to invoice you and to communicate with you quickly and efficiently about how the contract is to be fulfilled.

If you are a (potential) supplier or other contractor, your personal data is also required for the agreement and fulfilment of the contract. For purchasing, this is necessary to inform you what specifications or requirements a particular product or service should meet, to send you a quotation request or to place an order with you, to pay your invoices and to communicate with you quickly and efficiently about other aspects of the contract.

You are not obliged to give us your personal data. However, if you do not do so, or you give us incomplete personal data, it is possible that we will be unable to provide you with the aforementioned services.

Data transfer to third parties

In association with the fulfilment of any contract with you, it may be necessary for us to provide your personal data to parties who supply us with components, materials and products, or carry out other work for us. Furthermore, we make use of external server space for the storage of (elements of) our sales and purchasing administration, which includes your personal data. For that reason, your personal data will be forwarded to our server space provider. We also use Microsoft Office and its accompanying storage facilities for emails and other files.

Direct marketing

If you place regular orders with us, we will store the personal data you give us and use them in the future to inform you personally via email about our existing and new products and services, and possibly to provide you with a quotation. We have a legitimate interest in using your personal data for this purpose, namely the sale of our products and services. Each time we send you an advertising email, you have the opportunity to inform us that you no longer wish to receive these, by sending us an email.

Personal data retention period

If you have requested a quotation from us, but have not become one of our customers, we will delete your data within one year of our last contact. Also, if we have received a quotation from you, but we have not become one of your customers, we will delete your data within one year of our last contact. If you have become one of our customers, or we one of yours, we shall retain your personal data for a period of seven years following the financial year in which the contract with you was implemented in full. This period of seven years corresponds to the period within which we are obliged to retain our administrative records for the Tax Authority. We will delete your personal data at the end of this period.

Your rights

You have the right to request to inspect your own personal data. Should you have reason to, you can also ask us to supplement your personal data or to correct any inaccuracies. You also have the right to ask us to delete your personal data or to restrict the use of your personal data. You can also appeal to us against the collection and use of your data or submit a complaint to the Personal Data Authority. Finally, you can request us to release your personal data or transfer that data to a third party.
